Web Calendars

What are the Web Event Calendars?

The Web Event Calendars are online calendars for the GSE&IS Community. They can be viewed at the location below:

http://www.gseis.ucla.edu/calendar/

When you go to that page, you will see a list of calendars with descriptions of each:

Basically, the School Wide events calendar should be used for events applicable to the whole school. The Information Studies calendar should be used for IS specific events, and the Education calendar should be used for Education specific events. Similarly, the Student Events calendar should be used for student events.

Options for Viewing the Calendars

The online calendar system offers many choices for viewing. The default for these calendars is the month view, though others are possible.

You can switch views by using the buttons on the menu bar:

Most of the options are self-explanatory. Show Description shows the event text for all events on the calendar below the calendar. List Format doesn't show the calendar part at all, but just a list of dates and events for the specified time. If you click under Options, you will find a box to check for Enhanced List View. This will show you the list with three small calendars on the left side of the screen.

Viewing Events

If an event doesn't have a description associated with it, it will not be linked to further information. If it does have a description, clicking on the event will bring up a pop-up window showing all information about the event.

In the above example, there is further information about the Staff Meeting, while there is no further information about Veteran's Day. Clicking on the Staff Meeting link brings up a box like the following:

Public Event Submission

A link like the one below at the top right of the screen:

indicates that anyone can submit an event to the calendar. It won't show up on the calendar until it is approved.

There are several ways to login to the Web calendars.

Using the Login Button

If you are viewing a calendar, you can click on the login button. It is the last button on the toolbar.

The Login Box on the Calendar Page

On the main calendar page, there is a box on the right hand side where you can enter your username and password.

If you click on the Main Login Page link in the box at the right of the main calendar page, you will see another link called sign in now.

Login Options

If you don't use the Login Box, you will be presented with the screen below:

Clicking on the Save Password checkbox will save your password in a cookie file on your computer. This will make it easier for you to login. However, if someone else uses your computer, they will also be able to make changes to the calendar.

Clicking on the Change Password checkbox will allow you to change your password. It is recommended that you change your password to something that you will remember and the no one else can guess.

Successful Login

If you have successfully logged into the system, you will see a bar across the screen with your username and additional options in it.

After logging in, you will be able to add new events, change existing events, and delete events. You'll notice that all events (that you have access to change) and dates are now underlined.

If your events aren't underlined, you may still be in View Mode. Switch to Modify Mode by clicking on the button in your login tool bar.

Adding a New Event

To add a new event, either click on the date that you wish to add the event to or select a date from the bottom of the screen and click on the button. You will see a screen like that below:

Just set the times and add a location/description for the event and click on the Submit button.

There are many options for repeating dates and for notifications. They should be fairly self-explanatory. One thing to note is that the Repeat Times box is the total amount of times the event should occur, not the number of repetitions after the current date.

Changing / Deleting an Event

If you click on an event on the calendar, you will be presented with the editing options.

To edit, just change the text/dates/description and click on the submit button.

To delete the event, just change the menu next to the submit button from "Change this Event" to "Delete this Event" and click on the submit button.
